Sapiens and Machines LLC dba Sapiens + Machines (“we,” “us,” or “our”) operates sapiensandmachines.com (the “Site”) and provides technology, systems, and marketing services to our clients. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Who we are
Our website address is: https://www.sapiensandmachines.com. You can contact us at hello@sapiensandmachines.com or 433 Plaza Real, Suite 275, Boca Raton, Fl 33432 with any questions about this policy or how we handle your information.
Information we collect
We collect information in a few different ways:
- Information you give us directly. When you fill out a contact or “Start a Conversation” form, request a quote, or otherwise reach out, we collect what you provide — typically your name, email address, phone number, company name, and any details about your project or business needs.
- Information collected automatically. When you visit our Site, we and our service providers automatically collect certain data, including your IP address, browser type, device information, pages viewed, referring URLs, and the dates and times of your visits.
- Information from cookies and tracking technologies. We use cookies and similar technologies (pixels, tags) to understand how visitors use our Site and to measure the performance of our marketing. See the “Cookies and Advertising” section below for details.
- Information from client engagements. If you become a client, we may collect additional business information necessary to deliver our services — for example, access credentials for platforms we’re contracted to set up or manage (such as a CRM, Google Workspace, or ad accounts), which we handle under the terms of our engagement with you.
How we use your information
We use the information we collect to:
- Respond to inquiries and provide quotes or proposals
- Deliver, maintain, and support the services you’ve engaged us for
- Operate, secure, and improve our Site
- Measure and improve the performance of our own marketing and advertising
- Communicate with you about your project, our services, or administrative matters
- Comply with legal obligations and enforce our agreements
We do not sell your personal information.
Cookies and advertising
Like most websites, we use cookies — small text files stored on your device — to keep the Site running properly and to understand how it’s used.
We also run advertising campaigns on platforms including Google Ads, Microsoft (Bing) Ads, Meta (Facebook/Instagram), and Reddit, and may use analytics tools such as Google Analytics. These platforms place their own cookies or pixels on our Site to help us measure ad performance and understand which campaigns bring visitors to our Site. This means these third parties may collect data about your visit independently of us, governed by their own privacy policies:
- Google: https://policies.google.com/privacy
- Meta: https://www.facebook.com/privacy/policy/
- Microsoft: https://privacy.microsoft.com/privacystatement
- Reddit: https://www.reddit.com/policies/privacy-policy
You can control or disable cookies through your browser settings. Blocking cookies may affect how parts of the Site function. Where required by law, we will request your consent before setting non-essential cookies.
Embedded content
Pages on this Site may include embedded content (for example, videos or forms) from other websites. Embedded content behaves in the same way as if you had visited the other website directly, and that site may collect data about you, use cookies, and monitor your interaction with the embedded content, including tracking your interaction if you have an account and are logged in to that website.
Who we share your data with
We share information only as needed to run our business and deliver our services:
- Service providers. We work with third-party providers for hosting, email, forms, analytics, and advertising (for example, our web host, email provider, Google Analytics, and the ad platforms listed above). These providers process data on our behalf and are not permitted to use it for their own purposes beyond what’s needed to provide their service to us.
- Client-authorized access. If we manage systems on your behalf as part of an engagement (a CRM, ad accounts, Google Workspace, etc.), we access and handle that data solely to perform the work you’ve asked us to do.
- Legal and safety reasons. We may disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of Sapiens + Machines, our clients, or others.
- Business transfers. If Sapiens + Machines is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
If you request a password reset for any account on our Site, your IP address will be included in the reset email.
How long we retain your data
We keep contact form submissions and inquiry data for as long as needed to respond to your inquiry and for a reasonable period afterward for our own records, unless you ask us to delete it sooner. For clients, we retain project and account information for the duration of our engagement and for a period afterward as needed for legal, tax, or administrative purposes. Data we manage on your behalf as part of a service engagement is retained according to the terms of that engagement.
Data security
We take reasonable technical and organizational measures to protect the information we hold from unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights
Depending on where you live, you may have rights regarding your personal information, which can include the right to:
- Request a copy of the personal data we hold about you
- Request that we correct inaccurate data
- Request that we delete your personal data, subject to legal or contractual exceptions
- Object to or restrict certain uses of your data, including for marketing
- Withdraw consent where we rely on it as a legal basis for processing
To exercise any of these rights, contact us at hello@sapiensandmachines.com. We will respond within a reasonable timeframe and in accordance with applicable law.
Children’s privacy
Our Site and services are directed at businesses and are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
